Good event security is planned well before the gates open. Use this checklist with your venue, organisers and security provider so everyone works from the same plan on the day.
1. Understand the event
- Expected attendance, peak arrival times and event duration
- Audience profile, including whether alcohol will be served
- Any VIPs, performers, cash handling or high-value equipment
- Council, venue and licensing conditions that apply
2. Map access and crowd flow
- Entry and exit points, queue areas and ticket or bag check locations
- Emergency exits and evacuation routes, kept clear at all times
- Pinch points where crowds can build up, such as bars, toilets and stages
- Separate access for staff, deliveries and emergency services
3. Set restricted areas
Identify backstage, cash rooms, equipment storage and any other controlled zones. Decide how access is granted, such as wristbands or accreditation passes, and who is posted to each point.
4. Staff it properly
Base guard numbers on the risk profile, not only headcount. Every guard working the event must hold the appropriate NSW security licence. Brief all staff on their posts, the site layout, the rules of entry and who they report to.
5. Agree escalation and communication
- A clear chain of command and a single security lead on site
- Radio channels and call signs for security, venue staff and first aid
- Procedures for intoxication, refusals of entry, lost children and medical incidents
- When and how police and emergency services are contacted
6. Debrief and record
Log incidents as they happen and hold a short debrief after the event. Those notes make the next event safer and easier to plan.
